Who we are
HOMhq is the agent and brokerage operations platform used by SimpliHOM and its affiliated brokerages. It is available on the web at www.homhq.com and as the HOMhq mobile apps for iOS and Android.
HOMhq is a workplace tool, not a consumer product. Accounts are issued to real estate agents, brokers, and staff affiliated with the brokerage. It is not directed to children and we do not knowingly collect information from anyone under 18.
Questions about this policy or your data: support@homhq.com.
Information we collect
We collect the following, all of it in order to operate the brokerage:
- Account and login information. Your email address and a securely hashed password, held by our authentication provider. We never store your password in readable form.
- Profile information. Your first and last name, business and personal email addresses, phone number, mailing address (street, city, state, ZIP), date of birth, business entity name, and real estate license details including license number and state.
- Tax identifiers. Your Social Security Number or Employer Identification Number, where required to pay you and to issue tax forms. These are stored separately from the rest of your profile with tighter access controls, and are visible only to you and to authorized brokerage administrators.
- Transaction and commission records. Real estate transactions you participate in, commission splits, caps, credits, deductions, referrals, revenue-share activity, equity grants, agent billing items, and the underlying ledger entries. These are the brokerage's business and accounting records.
- Documents you upload or sign. Independent contractor agreements, addenda, transaction documents, signatures, and other files you submit through the platform.
- Notification and device information. If you enable notifications, we store the push subscription or device token needed to deliver them, along with the browser or app user agent that registered it, and a record of the notifications we send you.
- Support and usage records. Messages you send us, and server and error logs generated as you use the platform.
The mobile apps request camera and photo access only so you can attach photos and documents, and notification permission only so we can send you push notifications. Each is optional and prompted by your device. The apps do not collect your location and do not use advertising identifiers.
How we use it
- Running your account. Signing you in, showing your dashboard, and controlling what you have access to.
- Processing transactions and paying you. Calculating commissions, caps, credits, revenue share, and equity, and producing the payment and accounting records behind them.
- Meeting legal and tax obligations. Brokerage recordkeeping, tax reporting, and license compliance.
- Communicating with you. Transaction updates, notifications you have enabled, and support.
- Keeping the platform working and secure. Diagnosing errors, preventing abuse, and improving the product.
We do not sell your personal information, and we do not share it with third parties for their own advertising.
Who we share it with
Your information is visible inside the brokerage to the administrators, brokers, and staff whose jobs require it. Beyond that, we share only what is necessary with service providers who process data on our behalf:
- Supabase. Database, authentication, and file storage.
- Vercel. Application hosting.
- Memberstack. Account and membership management used during sign-in.
- Stripe. Payment processing for onboarding and subscription fees. Card details go to Stripe directly; we do not store them.
- Xero. Accounting, invoicing, and bill records for commission payments.
- Epixel. Revenue-share and downline administration.
- GoHighLevel. Onboarding and marketing communications.
- Dropbox Sign. Electronic signature of agreements.
- Resend. Transactional email delivery.
- Sent. Text message delivery, only for agents who opt in to texts.
- Apple and Google. Push notification delivery to your device (APNs and Firebase Cloud Messaging).
- Sentry. Error monitoring and diagnostics.
- ClickUp and Zoho. Internal operations and email accounts for affiliated agents.
We may also disclose information when required by law, to respond to legal process, to enforce our agreements, or in connection with a merger or sale of the business.
Some parts of the platform use AI assistants provided by Anthropic, OpenAI, Google, and xAI to help draft and summarize content. Where those features are enabled, content you submit or authorize an enabled feature to retrieve may be sent, and it is not used to train those providers’ models.
Optional Assistant and connected mailboxes
HOMhq Assistant is an optional feature available to an invited beta group. It is off by default. Where it is available, you choose whether to enable AI help and connect a mailbox. Google provides Gmail connections and Microsoft provides Outlook connections. Zoho supports brokerage email accounts where that connection is offered. Connecting a mailbox does not give your coordinator access to your private inbox.
With the permissions you grant, Assistant can retrieve message headers, recipients, timestamps, message bodies and attachments to organize your inbox, identify work needing attention, and prepare replies and follow-ups. If you enable proactive help, this processing can happen without a new chat request. Calendar access, when separately enabled, supplies event information for your briefing. Bodies are retrieved as needed rather than copying your entire inbox into a conversation. Sending requires approval of the specific message by an authorized person.
Enabled Assistant AI tasks use Vercel AI Gateway and the model and hosting processors listed in your Assistant privacy settings. Depending on the configured model and host, these can include Anthropic, OpenAI, Google, xAI, Google Cloud and Amazon Web Services. Those settings describe the current configuration; listing a provider here does not mean it is enabled for your account. Assistant requires a no-training policy for AI processing. This does not mean providers retain no data. Provider retention and processing terms must be verified before a processing path is enabled.
HOMhq's use of information received from Google APIs will follow the Google API Services User Data Policy, including its Limited Use requirements. Connected-mailbox data is used for the features you authorize, not for advertising. Private inbox-derived outputs are excluded from routine pilot output review. Sharing a specific saved output with support requires the sharing action shown in the app and does not share your entire conversation or inbox.
Assistant chat content and other unapproved content are retained for up to 12 months. Inbox-derived content has a shorter limit of 90 days from the original message's receipt and can expire sooner with its source. Approved action content and send receipts are retained as an audit record, including when an approved action is later canceled or fails. Deleting a chat does not erase that approval record. Documents you deliberately save as business records follow the applicable file retention rules.
You can review mailbox permissions, disconnect a mailbox, turn off Assistant, and delete chat content from Assistant History. Turning Assistant off stops new AI work and cancels pending unclaimed Assistant sends; a send already dispatched cannot be recalled. It preserves manual records and authorized human coordinator work. Disconnecting prevents new mailbox access but does not delete messages from your mail provider or erase approved business records. See Account Deletion to request removal of your account and eligible data.
Text message (SMS) terms
simpliHOM Agent Texts are text messages from simpliHOM, sent through HOMhq, to real estate agents affiliated with simpliHOM who opt in. They cover your transactions and commissions (for example, a disbursement authorization ready to approve, income received, or a commission paid), brokerage operational notices, and conversations with our closing team about your deals. We do not send marketing texts.
- Opting in. In the HOMhq app, open Settings → Notifications → Text messages, confirm your mobile number, and check the box. The box is unchecked by default and texts are optional: you do not need to opt in to work with simpliHOM.
- Frequency and cost. Message frequency varies with your transaction activity. Message and data rates may apply.
- Opting out. Reply STOP to any text (CANCEL, END, QUIT, UNSUBSCRIBE, REVOKE, and OPTOUT also work). You will receive one confirmation and no further texts. Reply START to opt back in.
- Help. Reply HELP to any text, or email support@homhq.com.
- Carriers. Carriers are not liable for delayed or undelivered messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Sharing with subcontractors that support our services, such as our text message provider, is permitted. Apart from that, text messaging originator opt-in data and consent will not be shared with any third parties.
How long we keep it
Transaction, commission, ledger, tax, and signed-agreement records are business and accounting records of the brokerage. We retain them for as long as required by real estate licensing law, tax law, and our own recordkeeping obligations, and we retain them even after your account is closed. See Account Deletion for what is removed and what is kept.
Push subscriptions and device tokens are removed when you disable notifications, when your device token expires, or when your account is deactivated. Read notifications are purged after 90 days.
Security
Data is encrypted in transit. Access inside the platform is enforced at the database level with row-level security, so agents see their own records and administrators see only what their role permits. Tax identifiers are held in a separate, more restricted store. No system is perfectly secure, but we treat these records as sensitive and limit access accordingly.
Your choices
- Access and correction. You can view and update most of your profile in the app. Some fields are changed by brokerage administrators to keep records consistent; contact support to request a change.
- Notifications. Turn push notifications on or off in the app's notification settings or in your device settings.
- Deletion. See the Account Deletion page.
Depending on where you live, you may have additional rights over your personal information. Contact us at support@homhq.com and we will respond as the law requires.
Changes
If we change this policy we will update the effective date above and, for material changes, notify you in the app.
